Cancellation Policy
At TopTravelPlanners, we understand that plans can change at any time. Our Cancellation Policy is designed to provide clarity, flexibility, and full transparency for all car rental reservations made through our website. By confirming a reservation, you agree to the terms described below, along with the applicable provider’s policies.
1. Scope of the Policy
This policy applies to all confirmed reservations made through TopTravelPlanners, regardless of the provider, destination, or vehicle type. Because we operate as an intermediary, cancellation timelines, conditions, and penalties may vary depending on the rental provider.
2. Cancellations Without Penalty
In most cases, you can cancel your reservation without penalty if the request is submitted:
- More than 48 hours before the scheduled pickup time.
- A full refund will be issued, minus any applicable banking or administrative fees.
3. Cancellations With Penalty
If you cancel within 48 hours before the rental begins, the following penalties may apply:
- Between 24 and 48 hours before pickup: 50% refund of the total reservation amount.
- Less than 24 hours before pickup: no refund will be issued, except in cases of verified force majeure.
- After the pickup time: the reservation is considered a No-Show and is non-refundable.
4. No-Show Cancellations
A reservation is classified as a No-Show when the customer does not appear to pick up the vehicle without prior notice. In such cases, no refund will be issued, and additional charges may apply. This includes situations where the customer:
- Fails to present a valid driver’s license.
- Does not provide a valid credit card under the primary driver’s name.
- Does not meet the provider’s documentation or deposit requirements.
5. Cancellations Made by the Provider
In some cases, the rental provider may cancel a reservation due to circumstances beyond the customer’s control, such as vehicle maintenance, overbooking, or force majeure. In such events, the customer may choose to:
- Receive a full refund.
- Accept an alternative reservation with similar conditions.
TopTravelPlanners does not cover any additional expenses such as accommodation, flights, or alternative transportation.
6. Non-Refundable Rates
Some promotional or special offers may be classified as “Non-Refundable”. These reservations do not allow changes, modifications, or refunds under any circumstances, except in cases of provider error or proven force majeure.
7. How to Cancel a Reservation
To cancel a reservation, the customer must send a request to our support team with the following information:
- Reservation number.
- Full name of the reservation holder.
- Email address and phone number.
- Reason for cancellation (optional but recommended).
Cancellation requests must be sent from the email used during booking or through the official form on our website.
8. Processing Time
Cancellation requests will be processed within 5 to 10 business days. Refunds will be issued using the same payment method used during the reservation. Additional delays may occur depending on banks or payment processors.
9. Cancellations Due to Force Majeure
In exceptional circumstances such as medical emergencies, severe weather conditions, airport closures, or government restrictions, the customer may request a special review to determine eligibility for a partial or full refund. Official documentation will be required.
10. Administrative Fees
TopTravelPlanners may apply an administrative fee ranging from $15 to $30 USD for handling cancellations, even if the provider does not impose penalties. This fee covers processing, verification, and support costs.
