This Refund Policy explains the conditions under which customers may request cancellations or refunds, along with applicable timelines and fees. By making a reservation through our website, you agree to the terms described below.

1. Scope of the Policy

This policy applies to all vehicle reservations made through TopTravelPlanners, regardless of the provider or service location within the United States. Refunds are subject to the vehicle provider’s terms and the conditions outlined in this policy.

2. Cancellations Before the Pickup Date

If you wish to cancel your reservation, you must do so in advance. The refund amount depends on when the cancellation request is made:

  • More than 48 hours before pickup: full refund minus a $25 administrative fee.
  • Between 24 and 48 hours before pickup: refund of 50% of the total rental amount.
  • Less than 24 hours before pickup: no refund will be issued unless justified as a valid force majeure case.

Cancellation requests must be submitted via the official email used during the booking or through our contact form.

3. No-Show Policy

If the customer fails to appear at the pickup location on the scheduled date and time without prior notice, the reservation will be considered a “No-Show” and no refund will be issued. This includes situations where the customer fails to provide a valid driver’s license, credit card, or required documentation.

4. Reservation Modifications

Requests to change pickup or drop-off dates, times, or locations are subject to availability. If the new itinerary is unavailable or results in a higher rate, the customer may:

  • Pay the difference for the new rate.
  • Cancel the reservation and request a refund under Section 2 guidelines.

5. Cancellations by the Provider

In rare cases, the vehicle provider may cancel a reservation due to operational or availability issues. If this occurs, the customer will receive a full refund or an equivalent alternative booking. TopTravelPlanners is not responsible for additional expenses such as flights, hotels, or transportation.

6. Refunds for Technical Errors or System Failures

If a technical issue or processing error results in an incorrect or duplicate charge, TopTravelPlanners will issue the appropriate refund within 7 to 10 business days after verifying the transaction.

7. Refund Processing Time

Once approved, refunds will be processed using the same payment method used during booking. Estimated timelines include:

  • Credit or debit card payments: 7 to 14 business days, depending on the issuing bank.
  • PayPal or digital payments: 3 to 7 business days.

TopTravelPlanners is not responsible for additional delays caused by banks or financial intermediaries.

8. Special or Force Majeure Situations

In cases of medical emergencies, severe weather, airport closures, or government restrictions, customers may request a special review for a partial or full refund. Supporting documents or official proof must be provided.

9. Non-Refundable Reservations

Some promotional or discounted rates may be classified as “Non-Refundable”. These reservations cannot be canceled or refunded under any circumstances unless authorized by the provider.

10. Administrative Fees

In certain cases, an administrative fee may apply for cancellation processing or refund management. This fee covers payment gateway costs, banking verification, or customer service operations. All applicable fees will be communicated to the customer beforehand.

11. Third-Party Providers

Since TopTravelPlanners acts as an intermediary between customers and rental providers, all final refund decisions are subject to each provider’s terms and conditions. Customers are encouraged to review the provider’s policies before completing a reservation.
